BracketWorks provides a cloud-hosted tournament management platform.

Tournament operators decide what bowler and tournament information is entered and are responsible for ensuring that they have authority and any consent required to enter, use, and publish that information.

BracketWorks processes information to operate, maintain, secure, support, and improve the Services.

Depending on the context and applicable law, BracketWorks may act as a business, controller, processor, or service provider.

2. INFORMATION WE COLLECT

2.1 Account and Organization Information

BracketWorks may collect:

  1. names;
  2. email addresses;
  3. usernames;
  4. hashed passwords;
  5. organization or bowling-center information;
  6. roles and permissions;
  7. account preferences;
  8. subscription status;
  9. acceptance records; and
  10. account activity.

2.2 Tournament and Participant Information

Operators may enter:

  1. bowler names;
  2. USBC or other membership numbers;
  3. squad assignments;
  4. tournament participation;

Operators are responsible for strong passwords, limiting staff access, removing former users, verifying information, and maintaining independent records when appropriate.

8. SUPPORT AND ADMINISTRATIVE ACCESS

Authorized BracketWorks personnel may access limited account, billing, technical, and tournament information when reasonably necessary for support, security, troubleshooting, abuse investigation, legal compliance, service operations, or improvement.

Access should be limited to personnel with a legitimate business need.

9. DATA RETENTION, DELETION, EXPORTS, AND BACKUPS

BracketWorks retains information for as long as reasonably necessary to provide the Services, maintain records, comply with legal obligations, resolve disputes, enforce agreements, protect security, and prevent fraud.

BracketWorks should maintain an internal retention schedule. The following starting periods are recommended and must be confirmed against actual technical and legal requirements before publication:

  1. active account information — while the account remains active;
  2. cancelled account information — through the applicable export and closure period;
  3. tournament records — until deleted by an authorized operator, closed under the account-retention process, or retained for a documented legal or operational reason;
  4. support communications — approximately two to three years;
  5. authentication, security, and audit logs — approximately twelve months, subject to security needs;
  6. billing, tax, and transaction records — for the period required by applicable accounting and tax rules;
  7. legal acceptance records — for the life of the account and an additional reasonable limitations period; and
  8. backups — approximately thirty to ninety days through routine rotation, unless a legal hold or security investigation requires longer retention.

These periods may differ when required by law, contract, fraud prevention, security, litigation hold, or operational necessity.

Operators may be able to export or delete certain records through the Services.

Deletion may not immediately remove information from backups, logs, audit records, invoices, fraud-prevention records, legal holds, or disaster-recovery systems.

Backup copies may remain for a limited period before routine deletion or overwriting.

10. CHILDREN AND JUNIOR BOWLERS

BracketWorks does not knowingly permit children under 13 to create operator or administrator accounts.

Adult tournament operators may enter limited tournament information concerning junior bowlers only when they have appropriate authority and any parental consent required by law.

Operators should avoid entering unnecessary contact information, birth dates, addresses, or other sensitive information concerning minors.

Operators should use additional care before publishing a junior bowler’s full name, membership number, payout information, or other information in a public view.

A parent or legal guardian seeking access, correction, or deletion of information concerning a child may contact the tournament operator and BracketWorks.

BracketWorks may remove or restrict junior-bowler information when reasonably necessary to comply with law or protect a child’s privacy.

11. PRIVACY, CORRECTION, AND PUBLIC-RESULT REQUESTS

Individuals may contact BracketWorks regarding inaccurate, unauthorized, unsafe, or overly exposed information in a public or shared tournament view.

BracketWorks may:

  1. direct tournament-result disputes to the operator;
  2. temporarily restrict or unpublish disputed information;
  3. correct obvious platform or data-entry errors;
  4. remove information concerning a minor when reasonably necessary;
  5. request proof of identity, parental authority, or organizational authority; or
  6. preserve private records while removing information from public display.

BracketWorks is not required to adjudicate tournament disputes merely because information is displayed through the Services.
